Hotel Accommodation and Air Travel

If you are offered financial support and are not a US Citizen or Resident Alien, you must enter the country on the appropriate visa to be reimbursed for hotel and travel expenses. Similarly, if you will be on an H1-B visa at the time of the program, please let us know immediately since there are restrictions and arrangements must be made in advance with your visa sponsor.

Accommodations:
Graduate Summer School funded participants will be housed in Sunset Village, an on-campus facility within walking distance of IPAM. Each person will have a private bedroom with one bathroom for two rooms. Sunset Village rooms feature twin beds, air-conditioning, a television with cable access, daily maid service, telephones (local service only), bathroom amenities, and internet access via Ethernet. The contract also includes dinner every day beginning Sunday, July 8. Meals will be taken at a dining facility at Covel Commons, adjacent to Sunset Village. More information will be available upon check-in.

Check-in begins at 4:00 pm on Sunday, July 8. Rooms are available through Friday, July 27, when you must check out by 11:00 am. A parking permit for the duration of the program is $70.00. More information will be provided to successful applicants.

GSS speakers and participants without IPAM funding are advised to reserve a room at the Hilgard House, where we have requested a block of rooms. The rate is $129/night plus tax; parking for one car per room (excluding vans and SUVs) is free. The hotel is within walking distance of IPAM and Westwood Village business district. Speakers, please refer to your invitation letter for information on lodging reimbursement. Please identify yourself as an IPAM guest when you make your reservation.

Airline Travel:
Please note the following guidelines for your travel reimbursement. Federal regulations require that travelers must book and ticket their flight through a US carrier. This means that your flight must either be on a US airline, or if operated by a foreign airline the ticket must be issued by a US airline partner. Subject to this requirement, you should endeavor to obtain the best direct route, economy, round trip fare. If you are unable to find a ticket at an appropriate price, please contact us before booking. Information on our policies and guidelines for visas, travel, and reimbursements is on our website. We strongly suggest you review this information as needed. Please contact our visa coordinator office for any visa related questions.
